1) Why do students need print credits?


Printing is very expensive and a lot of College money is wasted on unnecessary and discarded prints. Obviously this wasted money would be better spent elsewhere in the College.  Students will have enough credits every term if used sensibly and wisely. There are a number of ways that you can do this:

  • Print in black and white and double-sided wherever possible. The printers are set to print double-sided and in black and white by default. To print in colour and/or single sided you need to change the printer properties before you press Print. You may just need a draft copy to work on until your final project is finished so printing in black and white would be sufficient for this.
 
  • Print multiple images on one page. If you are doing a project and require many small images, put as many images as possible onto one page and then send that to the printer. This would count as one colour credit. For example, for an Art project, you would cut out all those images and stick them into your Art project folder.


The print system is to enable staff and students to consider the costs and reduce associated waste. It is not intended to make staff and students pay for their printing. Certain year groups will have more credits due to the extra printing that their subjects requires, and increased colour printing needs.

If you print carefully and think about the costs involved, you will be fine and there will be no need to buy any credits. If you waste them, you will need to buy more credits.



2) How many print credits do I get?

Students and staff use print credits on all prints: black and white (mono) prints and also colour prints.

Students will receive the following credit amounts:

Note: All Year 11, 12 and 13 students will receive the last term's (Term 3) print credits in Term 2 to allow for printing of coursework / final projects and increased printing requirements that will not be needed in Term 3 mainly due to exams taking place.

  • Credits will be issued every term with your allocation and you can accumulate credits if unused during previous terms.
  • Credits will be reset at the end of each academic year unless you have purchased extra credits


All users must manage print credits wisely. If you run out, you will be unable to print unless you buy some more print credits.

All school printers will now print in Black and white and double-sided as default unless you change it.   (printing double-sided will save you print credits as it only prints one sheet of paper and carries a discount)
This means that even if you send anything to any colour printer, it will print black and white unless you change it before printing it and it will use a print credit, so you need to change it before printing!

Note: All prints are monitored and any students found to be abusing the print system will be asked to pay for their printing.



3) How do I get more print credits?


You need to manage your credits wisely, if you run out, you will be unable to print unless you buy some more print credits.  This means printing in black and white for draft prints and only printing in colour for final pieces of work. Also putting multiple pictures on the same page for colour will also save credits. Printing double sided will also save credits.

Extra credits cost £1 per £1 of credits. You can buy any amount of credits, but they must be in multiples of £1, so you can't buy £2.50 worth of credits, it's either £2 or £3 etc.

£1.00 will give you approx 32 black/white A4 prints OR 12 full colour A4 prints, OR a mixture of both but all adding up to £1.00 worth of credits.

Your parent/carer will need to pay for extra credits online in the same way as any other payment on the system;  payment for print credits is titled "PRINTER CREDITS 21/22 (ONLY IF REQUIRED)"  You will need to purchase credits in whole pounds (we no longer do 50p worth).

Once paid for online, you need to visit the Finance Office (can only be done during break and lunchtimes)

  • Finance will provide you with a TopUp voucher
  • Log in to a school computer and click Papercut Print Credits icon on desktop
  • Login and then click Redeem Card on left hand pane
  • Enter the long number on the TopUp voucher
  • Click Redeem Card button


This means that your purchased credits will be instantly available once voucher is redeemed

All credits will be reset at the end of each School Year unless you have purchased some during that year.



4) How do I print in Colour?

This procedure is for students and Staff that wish to print in colour. There are two slightly different instructions depending on what printer you send the print to.


For students and staff who have selected to print in colour to the Resources Room colour copiers - "Photocopiers-2-3-G58-CANON"

The procedure may be slightly different as it depends on what software you are using.

  • From your software application (Word, Excel etc) Select ‘Print’ as normal
  • Select required printer from drop down box (obviously a colour printer is required for colour prints!)
  • Select ‘Printer Properties’ or ‘Printing preferences’

  • Change the drop-down from Black and white to "colour"
  • Click OK
  • You may not want to print double-sided for all colour prints, so you will need to change the settings to print single-sided as well before printing.


For students and staff who have selected to print colour to any other colour printer in the school.

  • From your software application (Word, Excel etc) Select ‘Print’ as normal
  • Select required printer from drop down box (obviously a colour printer is required for colour prints!)
  • Select ‘Printer Properties’ or ‘Printing preferences’
  • Select ‘Print Quality’ tab
  • Un-tick the ‘Print in black and white’ box

5) How do I print from home?

You will need to login from home to the College remote access system. This will be like using a computer in school. The Resources printer/copier is the only printer available from home. It is named as "Photocopiers-2-3-G58-CANON". Your print will stay in the queue for 24 hours until you release the print by logging into the printer. If it is not released, it will be deleted and you will not be charged for the print.




6) Printing – from iphones, ipads, macs & macbooks

7) Add a school printer to a staff laptop or Admin computer

 

For staff laptop users

To install a printer

 

Note:

2 - A3-COLOUR-Q PHOTOCOPIERS are the staff room and G29 large A3 colour copiers

2 - A4-COLOUR-Q are the various A4 print and copy devices where scanning is available - AR1,AR3,AS9,DT2,Room29,G6(StudentServices), G5(Finance/HR),IT1,IT5,SC13a,P3(Post16)

The other printers are named by room that they’re located

 

-On your laptop, navigate to F drive / Public / ICT Scripts / Printers (or Central Resources / Staff Only / Public / ICT Scripts / Printers)

 

-To install your printer, scroll down to relevant printer and double-click to install – wait.. as it is doing something. 

-Once it’s been installed, you should get a couple of confirmation prompt boxes confirming installation and some info

-Select OK to those after reading!

 

-Default Printer - To make a specific printer your default printer, scroll down to the bottom of Printers and Scanners and ensure Allow Windows to manage my default printer is Unticked, then scroll up, left select your printer, click Manage, then click Set a default

 

To delete old and unused printers

-In the bottom left ribbon search bar type ‘print’ and that should show Printers and Scanners.  Click on that.

 

-Delete any old printers which have either CANON or HP at the end of the name (ie G29-A4-BLK-HP) by left clicking on the device and select Remove Device.

For Support staff computer users

To install a printer

 

If your printer is not already installed or you want a specific printer, go into any app (Word) select Print

-Drop down the list of printers and click Add printer

-Select Add a printer or scanner

-Scroll to the bottom where the new printers are, and then click on the relevant one and click add device

-Default Printer - To make a specific printer your default printer, scroll down to the bottom of Printers and Scanners and ensure Allow Windows to manage my default printer is Unticked, then scroll up, left select your printer, click Manage, then click Set a default

 

To delete old and unused printers

-In the bottom left ribbon search bar type ‘print’ and that should show Printers and Scanners.  Click on that.

8) Print out does not arrive at printer/copier

This article is for staff and students who send a print to the printer and it does not show up in their queue.

Note: this only affects printers where prints need to be released. This does not affect printers which print straight out.

When a document is created, it must be saved as a file name first and then printed. Saving as the default Document1.docx will be denied and will not print.  For example, if you open a new word document and try to print it, it will be denied. This is because it is named as Doc1.doc, document1.docx or for a spreadsheet, Book1.xlsx
Save it first, then print it out. If it is not required thereafter, delete the document once printed



9) Tips for using fewer print credits


Students and staff using print credits can be efficient in their spending of credits by following some guidelines when printing. Once your student print credit allocation is used, student's will need to purchase more if required.


How to reduce print credit spending

  • Print in black and white (mono) where ever possible
  • Reduce the amount of drafts you need to print by viewing on-screen
  • Check and double check your work on-screen more carefully before printing
  • Only print final pieces of work in colour where possible
  • Print any drafts in mono where possible
  • For collages, put multiple images on a page rather than one page-per image where possible. you will be charged whether the picture is small or covers the whole page!
  • Printing double sided where possible
  • Keep the work that you print! Often students will print some pages for a lesson and then throw them away after the lesson, then print again when needed.





10) Using photocopiers and releasing prints


This article is for staff and Post 16 students who either need to release prints, or use the photocopiers for the first time using swipe cards.


For staff - register card in G58 Resources room.
For Post 16 students, register in the Post 16 common room.

You will only have to follow this procedure once. Subsequently, you will be able to access and use the photocopiers and printers or to release prints just by swiping your ID card.

To set this up:

  • Slowly swipe your ID card over the small black scanner on a photocopier/printer until it beeps
  • Press next on the touchscreen to enter your username and password. (this is your normal school computer logon and password).
  • Press next or associate to finish
  • Swipe your ID card again and it should then grant you access using your ID card
  •  

Once in, you can copy, or release waiting print jobs by going to the ‘Print Release’ button and the selecting the document to print.




11) How do I print single-sided?


This is for Staff and Students who want to print single-sided instead of the default double-sided. There are two slightly different instructions depending on what printer you send the print to: the "Photocopiers-2-3-G58-CANON" or any other printer

For students and staff who have selected to print to the Resources Room colour copier - "Photocopiers-2-3-G58-CANON"


The procedure may be slightly different as it depends on what software you are using.

  • Select ‘Print’ as normal
  • Select required printer from drop down box
  • Select ‘Printer Properties’ or ‘Printing preferences’

  • Select ‘Basic Settings’ tab
  • Click on 1 sided/2 sided/Booklet printing (circled in red) and change to "1 sided"
  • Select OK
  • Select ‘Print’ button

For students and staff who have selected to print to any other printer


The procedure may be slightly different as it depends on what software you are using.

  • Select ‘Print’ as normal
  • Select required printer from drop down box
  • Select ‘Printer Properties’ or ‘Printing preferences’
  • Select ‘Printing Shortcuts tab
  • Print on both sides - select "no"
