This article is to assist students and staff with using Teams as well as any issues.

1) I cannot access Teams

Go to your email http://email.clystvale.org , enter your email address and password, and then click on the 'waffle' icon in the top left of the browser and select Teams.

  • Then click on the "Use the web app instead button"

If you have tried this already and it still does not work, try to access Teams in a different internet browser such as Chrome, Firefox, Internet Explorer, or Edge, and do the above steps

 

Ensure that your internet browser is up-to-date as older versions might not work properly. Chrome seems to be the best browser for Teams, but the latest version of Edge works fine too.

You can also install the Teams app and Microsoft Office on your computer, tablet or phone, although it is more difficult to do large amounts of typing on the tablets and phones obviously. But there is no need to install Teams and Office as it can all be done from an internet browser.



2) How do I create a Word, Powerpoint or Excel document or upload photos/files for an assignment?

From Team assignments, you can easily create Word, Powerpoint, Excel files right from within the assignment. You can also upload files from your College OneDrive, other Teams, and also from your home computer. With the Teams app and Microsoft Office app on tablets and phones, you can do all of the work except it's a bit smaller and harder to type longer Word documents. You can also upload photos from your phone directly to the assignment.

Initially, it might be beneficial to send your photos from your phone to your computer, via email possibly, and then attaching them to the assignment from the computer until you have figured out the mobile Teams app.

You can also set your phone to send/receive emails from your College email account to help with sending images from your phone to your computer.

3) How do I upload a photo from my phone/tablet to an Assignment?

You will need to install the Teams app on your device and log in using your College email and password.

4) How do I create a Word, Powerpoint or Excel document or upload photos/files for an assignment from a tablet or phone?

You will need to install the Teams app and also Microsoft Office on your tablet or phone in order to work with Word, Powerpoint and Excel within Assignments. Once you have those, you can do it all except it is a lot smaller and harder to produce a lot of typed work if required. You can upload photos from your phone directly to the assignment from within the Teams app.



5) I cannot hear a Powerpoint in Teams

- Is there any sound in the Powerpoint? Not all Powerpoint presentations have sound with them.
- Are you using the remote access system "mywork.clystvale.org"? You cannot get sound when logging into school remotely. You will need to view the Powerpoint on your home computer, not the Remote Access computer.
- Is the volume turned on and up on your computer? Test to see if you can get sounds from another web site to check if sound is working on other applications/websites/Youtube.
- Is the Powerpoint sound actually muted? You can mute Powerpoint but still have sound on the computer.

6) My Teams have disappeared or are not visible

There are a few reasons that this can happen;
A - You are no longer a member of that class as you have moved classes. A new Team should appear with any new class

B - The Team has been archived as it is a new school year. All class teams are archived at the end of each year. Students and staff can still have access to it, although the Team is read-only and no posts can be made, feedback from assignments is not possible, so staff and students can copy any files/work from the archived team and resubmit it to a current team, or via email to the Teacher. This will happen every year at the end of the Summer.

If your teacher restores a Team, it will be hidden so needs 'unhiding'.

1- Click on Teams menu to show your current Teams view
2-Click on the small triangle icon to compress the 'Your Team' list view (or scroll to the bottom of the page to see the Hidden Teams section)

3- Click on the small triangle icon to expand the Hidden Teams list

4- Click on the ellipses (3 dots)
5- Click Show
6- Click on the small triangle icon to expand the 'Your Team' list view

The restored Team should now be visible to you



7) How to view Archived Teams

Archived Teams can still be accessed by students and staff, but it is read-only.  No posts or file uploads are possible.   Files can be downloaded or copied to a computer, but nothing can be done within the team.
In order to use an archived team, a teacher will need to restore it.

8) Backgrounds on iphone and ipads

You cannot change the background on an iPhone or an iPad, you can only blur the background. This is done before joining a meeting in the app.

9) How to optimise audio in power points for Teams playback

This is usually for staff members wanting to publish power points containing audio within Teams but would apply to any students wishing to use this feature.

Once you've finished your ppt and recorded your audio, go to 'file', then 'info' and click on 'optimise media compatibility'.

The program will then convert the audio files for optimum playback

Then save the file and upload to Teams

Whoever is viewing the presentation will need to click on the play icon to hear the audio as below:

10) Where are my Teams Meeting recordings saved?

Recordings of meetings which take place in a team are stored on SharePoint. They can be found in the Files tab of the channel where the meeting took place, in a folder called Recordings. They can then be quickly deleted or shared with others just like any other SharePoint file.

For meetings which are not part of a team (ie. set up through the calendar) the recording is stored in the OneDrive of the person who clicked record. Once again in a folder in their personal OneDrive named Recordings.

Please note:
 - Recordings within a Team will be automatically shared with the Team members.
 - Calendar set recorded meetings will also be shared with the participants.
